The dental software market in Bulgaria has never been more crowded: free НЗИС tools, modular cloud platforms, legacy desktop systems and new entrants like Udentis. This guide helps you evaluate options systematically so you pick software that fits your practice for the next five years, not just next month.
Start with your non-negotiables
Every contracted Bulgarian dental clinic must report to НЗИС. That is table stakes, but not all software handles it equally. Ask whether e-prescriptions, referrals, D009 history import and KEP signing are included or require separate tools.
Next: where is your data stored? EU hosting with encryption at rest (especially for ЕГН and patient identifiers) is a GDPR requirement and a patient trust issue. Ask for a Data Processing Agreement before you sign.
Count the real cost
Headline monthly price is misleading. Add up per-module fees, per-dentist charges, SMS packages, booking add-ons, migration costs and annual support contracts. A "free" tool that leaves you doing invoicing in Excel and reminders by phone has a hidden labour cost.
Ask for a 12-month total cost of ownership estimate for your exact clinic size, number of dentists, locations and expected SMS volume.
Evaluate the daily workflow
Software that only does one thing well (НЗИС submission, invoicing, calendar) forces your team to re-enter data across tools. Follow a patient journey in the demo: book appointment → treat → invoice → submit НЗИС. Count the clicks.
Check whether assistants and reception staff get free accounts or whether you pay per seat. A 5-person team on per-seat pricing adds up fast.
Plan for switching before you need to
Even if you are not switching today, ask about data export and migration support. Can you get your patients out as CSV? Will the vendor help you import from your current system? How long does onboarding take?
Clinics that choose software with poor export tools often feel trapped. Migration support is an insurance policy, even if you never use it.
