The problem

You open Monday morning and three patients are booked in the same chair at 10:00. The receptionist spent twenty minutes on the phone rescheduling a crown prep while two walk-ins waited. Dr. Petrov's Google Calendar shows a personal block that never made it into the clinic diary. Maria Ivanova missed her hygiene visit because nobody sent a reminder. Meanwhile, the composite tray for the afternoon's fillings was never prepped, you found out mid-procedure. This is what happens when scheduling lives in spreadsheets, WhatsApp threads, and three disconnected calendars. Every double-booking costs trust. Every no-show costs revenue. Every unprepared tray costs focus at the chair.

How it works in Udentis

Multi-dentist calendar with conflict detection

Udentis shows each dentist as a column on a shared day view. When reception books a patient, selects the treatment type and assigns a provider, the system checks for overlapping appointments before the slot is saved.

Filter by dentist or status to see confirmed, pending, completed and missed visits at a glance. Reception gets one schedule for the whole clinic instead of cross-referencing separate diaries.

Drag-and-drop rescheduling

Move an appointment to a new time by dragging it on the calendar. Udentis re-validates provider availability and keeps the linked treatment and patient context attached.

Cancellations and edits can notify the patient by SMS (on plans with SMS) and email, depending on how your clinic configures notifications.

Patient reminders by email and SMS

Email reminders are included on every plan. An automatic reminder job sends notifications about 24 hours before pending appointments. Staff can also send manual email or SMS reminders from the appointment card.

SMS notifications for booking, edits, cancellations and reminders are available on Practice, Clinic and Groups plans with monthly quotas. Messages use your clinic name and respect the patient's contact details on file.

Google Calendar import

Connect Google Calendar via OAuth, select which calendars to read, and import future events into Udentis. Map calendar colours to dentists so imported events land in the right column.

Review imported events as candidates before they become clinic appointments. This helps new clinics bring an existing Google-based schedule into Udentis without retyping every slot.

Treatment kits on every appointment

Link treatment kits to procedures so each appointment shows the materials list, expected duration and standard fee before the visit starts. Assistants prep trays from the kit, not from memory.

When the appointment type changes, the kit updates on the appointment card so reception and clinical staff always see the same protocol.

Who it is for

Solo practice

One dentist, one chair, no receptionist on Wednesdays. Udentis gives you a single-column calendar with automated reminders so patients get notified while you are at the chair. Google Calendar import helps personal blocks and clinic appointments stay aligned. You book a week in five minutes and stop losing Saturdays to admin.

Multi-dentist clinic

Four providers, two hygienists, a busy front desk. The multi-column view shows every chair at once. Conflict detection stops double-bookings before they reach the patient. Drag-and-drop rescheduling saves reception three hours a week. Treatment kit prep lists mean assistants prepare trays the night before, not during the first patient.

Clinic group

Three locations, shared patient database. Each site runs its own calendar with location-specific rooms and staff, but Maria Ivanova's record follows her if she books in Sofia and treats in Plovdiv. Central admins compare utilisation rates per location and spot no-show patterns across the group from one dashboard.

Integrations and details

  • Treatment kits link appointments to expected materials, duration and fees
  • Email reminders on all plans; SMS on Practice, Clinic and Groups
  • Google Calendar OAuth import with dentist colour mapping
  • Performed procedures on completed visits feed draft invoices
  • НЗИС procedure capture on the same appointment record
