The problem

You know the drill: the dentist plans a three-visit crown case in their head, the assistant writes materials on a sticky note, reception invoices the wrong procedure code, and nobody knows whether composite was actually used on tooth 24. Treatment knowledge lives in people, not in the system, so every handoff between clinical, НЗИС, and billing is another chance for a gap. When a patient asks "what's left on my plan?", someone has to dig through paper notes and yesterday's WhatsApp thread. That is not clinical care, that is administrative archaeology.

Multi-visit treatment plans with tooth-level detail

A treatment plan in Udentis is not a PDF you print and forget. It is a living object tied to the patient record, the FDI odontogram, and every future appointment. Create a plan for Maria Ivanova's crown on tooth 16: mark the tooth as planned, add visit 1 (prep), visit 2 (impression), visit 3 (cementation), assign Dr. Marin, and set estimated fees per visit. The plan shows 0/3 visits complete, consent status, and outstanding balance, all on one screen.

Each visit in the plan can carry its own procedure code, kit template, and duration estimate. When you schedule visit 2, Udentis pre-selects the impression kit and blocks 45 minutes on Dr. Marin's calendar. Progress updates automatically: after visit 1 is completed, the odontogram marks tooth 16 as in-progress and the plan reads 1/3 visits. No one re-enters data at the front desk.

For simpler cases, a single composite on tooth 24, the plan is one visit with one kit. For full-mouth rehabilitation, break work into phases and track each phase independently. Plans can be duplicated for common protocols, so a standard implant case does not start from scratch every time.

Treatment kits: encode the protocol once

Every procedure your clinic performs regularly should exist as a kit template: composite filling, root canal, crown prep, extraction, hygiene visit. Each kit lists the materials consumed (with quantities), the default duration, the НЗИС procedure code, and the standard fee. Build the "Composite filling - 1 surface" kit once: 1 cartridge anesthetic, 1 composite syringe (configurable shade), 1 matrix band set, 1 polishing disc, and it is ready for every dentist in the practice.

Kits are not rigid. When completing an appointment, the dentist can adjust quantities, used two cartridges instead of one, and Udentis records the variance. Over time, consumption analytics show whether your kits match reality or need tuning. A kit that consistently runs over on composite is a pricing signal, not a surprise at month-end.

Link kits to your procedure catalogue so reception sees consistent names and prices at booking time. New team members do not need to memorize which materials a crown prep requires, the kit loads automatically when the appointment type is selected.

Plan links to appointment, no re-entry

Scheduling from a treatment plan takes two clicks: open the plan, click "Schedule next visit". Udentis creates the appointment with the patient, dentist, procedure, kit, and duration pre-filled. The appointment card shows which plan and which visit number it belongs to, "Crown tooth 16, visit 2 of 3".

If a patient calls to reschedule visit 2, drag the appointment on the calendar. The plan stays linked; only the date changes. If visit 2 is completed early and visit 3 is not needed for another three weeks, the plan reflects the gap without anyone updating a separate tracker.

Cancelled visits do not orphan the plan. The visit status reverts to "planned" and the next scheduling action is obvious. Reception never invoices a visit that was not clinically completed because the invoice draft only generates from a completed appointment tied to the plan.

The full chain: plan → appointment → НЗИС → invoice

This is where Udentis differs from a calendar with a billing add-on. The treatment plan is the origin; everything downstream is connected. Complete the appointment → НЗИС fields (procedure code, dentist LPK, patient NHIF number) are already captured from the kit and patient record → a draft invoice appears with the correct line items and VAT.

For insured patients, the НЗИС submission data is validated at appointment close, missing LPK or procedure code blocks completion with a clear error, not a rejected submission weeks later. For private-pay visits, skip НЗИС and invoice directly. Mixed plans (НЗИС visit 1, private visit 2) are supported per visit.

Reception reviews the draft invoice, typically under 30 seconds, confirms, and sends the PDF. The treatment plan marks the visit complete, НЗИС data is queued, and the invoice is issued. Three systems, one click at the end. That is the chain your team stops rebuilding manually every day.
